Great documentation is accurate, complete, and usable—but it also needs to be discoverable. Even the best documentation has limited value if users cannot find it.

For software companies, documentation is often one of their largest public sources of technical knowledge. Developers discover products through search engines, troubleshoot issues through documentation pages, and increasingly rely on AI assistants to retrieve technical information.

With the rapid development of AI search and Answer Engine Optimization (AEO), traditional SEO is evolving rather than disappearing. Many SEO fundamentals remain highly relevant because search engines and AI systems both need documentation that is:

  • Authoritative and trustworthy
  • Easy to find, understand, and use

This article summarizes the SEO fundamentals and practical techniques I’ve found most valuable for creating documentation that is discoverable, usable, and ready for the AI era.

Three pillars of documentation SEO

From a documentation perspective, SEO can be understood through three key dimensions:

  1. Relevance — Does the content answer what users are searching for?
  2. Authority — Can the website be trusted as a reliable source?
  3. Experience — Is the content easy for humans and machines to discover, understand, and use?

The following sections explore practical documentation SEO practices through these three dimensions.

1. Improve content relevance

Search engines need to understand what a page is about and whether it matches user intent. Many documentation SEO practices in this area fall under on-page SEO, which focuses on optimizing page-level elements such as titles, headings, metadata, and URLs.

Optimize titles

The title is one of the most important elements for helping users and search engines understand a page’s topic.

A good documentation title should:

  • Clearly describe what the page is about
  • Include relevant keywords naturally
  • Match user search intent
  • Encourage users to click

A practical guideline is to keep titles concise:

  • Chinese titles: usually within 30 Chinese characters
  • English titles: usually within 60 characters

  • Less descriptive: Time Zone

Write effective metadata descriptions

A metadata description summarizes the page and helps users decide whether to click it in search results.

  • Encourage clicks

When appropriate, include numbers or concrete details to make the description more specific and compelling.

Use keywords in headings

Well-structured headings make content easier to scan and help search engines understand how information is organized.

Use relevant keywords naturally in H1, H2, and H3 headings. Avoid repeating the same keyword unnaturally across headings.

Design search-friendly URLs and file names

URLs help users and search engines understand what a page is about. A clear, descriptive URL also makes documentation easier to share, navigate, and remember.

Good documentation URLs should:

  • Include important keywords
  • Be concise and descriptive
  • Use clear English words
  • Avoid unnecessary folder levels

Some documentation sites organize source files into multiple nested folders for maintainability. However, the final URL does not need to mirror the repository structure. If your documentation platform supports it, consider generating clean, flat URLs while keeping the source files well organized.

Keep URLs short and stable

As a practical guideline:

  • Keep URLs within about 75 characters when possible.
  • Reduce unnecessary subfolders.
  • Avoid changing published URLs unless necessary.

Stable URLs help preserve bookmarks, backlinks, and search engine indexing over time.

When URLs change due to documentation restructuring, product renaming, or other content migrations, use a permanent (301) redirect whenever possible to maintain access to existing links and minimize the impact on search visibility.

File naming conventions

In many Docs-as-Code workflows, file names directly influence generated URLs. Following consistent naming conventions improves both maintainability and readability.

Use the following conventions:

  • Use lowercase letters.
  • Separate words with hyphens (-).
  • Do not use underscores (_) or spaces.
  • Use clear, grammatically correct English.
  • Keep file names concise and descriptive.

Ideally, users should understand what a document is about simply by reading its file name.

Example:

  • Recommended URL: /configure-time-zone
  • Recommended file name: configure-time-zone.md

Internal links help users discover related information and help search engines understand how pages are connected.

The anchor text should clearly describe the destination page and include relevant keywords naturally. Generic anchor text like “here” provides little context for both users and search engines.

When linking to documentation content, keep anchor text consistent with the target content:

  • When linking to a full document, use the document title when possible.
  • When linking to a specific section, use the section heading when possible.
  • When a title is too long or does not fit naturally into a sentence, use concise wording that accurately describes the linked content.

Optimize images

    Apply the same file naming conventions used for documentation files. Image file names should clearly describe the content and use lowercase letters with hyphens to separate words.

  • Add descriptive alt text

    Alt text improves accessibility and helps search engines and AI systems understand image content.

Before publishing a documentation page, ask yourself:
